Terms & Conditions

1. Introduction

These Terms & Conditions govern all bookings made with Out & About ("we", "our", "us").

By submitting an application, paying a deposit, making a booking, or attending an Out & About event or trip, you agree to be bound by these Terms & Conditions.

Out & About provides social travel experiences designed to bring together women in a welcoming, inclusive and community-focused environment.

2. Eligibility

Guests must:

Be at least 18 years old.
Provide accurate information during the application process.
Hold valid travel documentation required for the destination.
Be physically and mentally capable of participating in the trip.

Out & About reserves the right to refuse or cancel a booking where eligibility requirements are not met.

3. Application Process

Some trips may operate on an application basis.

Submission of an application does not guarantee a place.

Out & About reserves the right to accept or decline applications at its sole discretion where this is necessary to maintain guest safety, group dynamics, or the overall experience.

If an application is declined after payment has been made, all monies paid directly to Out & About will be refunded.

4. Booking Confirmation

A booking is only confirmed when:

An application has been approved (where applicable).
The required deposit has been received.
Written confirmation has been issued by Out & About.

Until confirmation is issued, no contract exists between the guest and Out & About.

5. Pricing

Trip prices are displayed at the time of booking.

Unless expressly stated, prices do not include:

Flights
Airport transfers
Travel insurance
Passports
Visas
Vaccinations
Personal spending money
Optional excursions
Meals not listed as included

Guests are responsible for all costs not specifically included within the trip package.

6. Payment Terms

A non-refundable deposit is required to secure a booking.

The remaining balance may be paid in instalments where offered.

Payment deadlines will be communicated to guests upon booking.

Failure to pay any balance by the stated deadline may result in:

Cancellation of the booking.
Loss of any payments already made.
The place being offered to another participant.

7. Cancellations By Guests

All deposits are non-refundable.

Where a guest cancels:

More than 90 days before departure

Any payments made beyond the deposit may be refunded at Out & About's discretion, less any unrecoverable costs.

89–30 days before departure

No refund is guaranteed.

Less than 30 days before departure

No refunds will be provided.

If a replacement guest can be found, Out & About may offer a partial refund at its discretion.

We strongly recommend comprehensive travel insurance.

8. Cancellations By Out & About

Out & About reserves the right to cancel a trip due to:

Insufficient guest numbers.
Safety concerns.
Supplier issues.
Events beyond our reasonable control.

Where Out & About cancels a trip, guests will receive a refund of monies paid directly to Out & About.

Out & About shall not be responsible for:

Flights
Insurance
Airport transfers
Additional accommodation
Any other third-party costs

9. Minimum Numbers

Trips require a minimum number of confirmed guests.

If minimum numbers are not achieved, Out & About reserves the right to cancel the trip.

Guests will receive a refund of monies paid directly to Out & About.

10. Flights & Travel

Flights are not included unless explicitly stated.

Guests are solely responsible for:

Booking flights
Arriving at the destination
Obtaining travel insurance
Holding valid passports
Meeting visa requirements
Following airline requirements

Out & About is not responsible for missed flights, delays, cancellations or travel disruption.

11. Travel Insurance

All guests are strongly encouraged to purchase travel insurance.

Out & About may request proof of insurance before departure.

Guests travel at their own risk.

12. Accommodation

Accommodation details will be provided before departure.

Unless specifically advertised otherwise:

Rooms may be shared.
Beds may be allocated on a shared basis.
Room requests cannot be guaranteed.

Guests must respect accommodation providers and fellow guests.

Any damage caused by a guest may result in charges being passed directly to that guest.

13. Itinerary Changes

Itineraries, accommodation, timings and activities may occasionally change.

Out & About reserves the right to make reasonable changes where necessary.

Such changes do not constitute grounds for cancellation or compensation.

14. Health & Medical Requirements

Guests are responsible for ensuring they are fit to travel.

Any relevant medical conditions, allergies, dietary requirements or accessibility needs should be disclosed before travel.

Out & About accepts no liability for medical issues arising from undisclosed conditions.

15. GUEST CONDUCT

All guests must behave respectfully towards:

Fellow attendees
Hosts
Accommodation providers
Local residents

The following may result in immediate removal without refund:

Harassment
Bullying
Discrimination
Aggressive behaviour
Illegal activity
Threatening behaviour
Damage to property
Behaviour that places others at risk

16. Consent & Personal Boundaries

Out & About promotes a safe and respectful environment.

All attendees must respect:

Personal boundaries
Consent
Privacy
Individual comfort levels

Any inappropriate behaviour may result in removal from the trip without refund.

17. Alcohol & Substance Use

Guests are responsible for their own alcohol consumption.

Illegal drug use is strictly prohibited.

Out & About accepts no liability for incidents arising from intoxication, reckless behaviour or illegal activity.

18. Photography & Social Media

Photos and videos may be captured during trips.

These may be used for:

Social media
Marketing
Future promotional material

Guests who do not wish to appear in promotional content must notify Out & About before the trip begins.

19. Liability

Participation in Out & About trips is voluntary.

To the fullest extent permitted by law:

Out & About's liability shall be limited to the total amount paid directly to Out & About by the guest.

Nothing within these Terms excludes liability where such exclusion is prohibited by law.

20. Force Majeure

Out & About shall not be liable for cancellation, delays, losses or changes caused by events outside its reasonable control including:

Severe weather
Natural disasters
Government restrictions
Pandemics
Strikes
Civil unrest
Transport disruption

21. Privacy

Personal information will be collected only for the administration and operation of trips and events.

Information will be processed in accordance with applicable UK data protection legislation.

22. Acceptance

By booking, paying a deposit or attending an Out & About trip, guests confirm that they have read, understood and agreed to these Terms & Conditions.
